As our Staff Accountant you will, assist in maintaining financial records and ensuring that financial transactions are properly recorded. Aids in preparing financial forms and statements on behalf of the company. Ensures the accuracy of entries to ledger accounts and reconciles subsidiary ledger accounts to the general ledger. Compiles financial data to aid Sr Accounting Manager / VP of Finance in the preparation of balance sheets, profit and loss statements and other financial reports. Assists in analyzing current costs, revenues, financial commitments, and obligations incurred to predict future revenues and expenses. Prepares general ledger entries by maintaining records, files and reconciliations for banks, liabilities and prepayments. Assist A/P and A/R on postings and special projects, function as backup. Maintain and updated standard cost and fixed assets records in the ERP system. Works on special projects as assigned and assist Sr Accounting Manager as needed.
5 Key Roles of Responsibilities
1. KEY CONTRIBUTOR TO MONTH END CLOSE. (PREPARES AND POSTS JOURNAL ENTRIES, RECONCILING ACCOUNTS, AND ANALYZING VARIANCES)
2. FIXED ASSETS TRACKING & MANAGEMENT
3. RESPONSIBLE FOR VARIOUS STATE TAX & BUSINESS COMPLIANCE FILINGS AND INQUIRIES (INCLUDING INTERNATIONAL LOC'S AND INQUIRIES FROM CPA, BANKS, ETC..)
4. DXW INDUSTRIES FINANCIAL TRANSACTIONS & COMPLIANCE SUPPORT
5. CROSS TRAINED DEPARTMENTALLY
Month End Close
* Perform month end closing processes to assist with preparation of the financial statements including but not limited to: various reconciliations, analyzing variances in the general ledger for accuracy and reporting anomalies, closing journal entries to include prepayments reclassed as expense, manufacturing expense reclassifications, posting month end depreciation and reconciliation of fixed assets in NAV, and bank reconciliations for BioFilm Inc. All month end closing processes must be completed no later than the 5th business day of the month.
* Present quarterly and yearly financial reports to management as required.
* Ensure all financial transactions are accounted for and follow legal standards.
* Perform Item cards audits, follow-up on changes with Document Control.
Fixed Assets Tracking & Management
* Responsible for the fixed assets module in Navision. Calculate monthly depreciation, process acquisitions, disposition, and sale of Fixed assets. Maintain fixed assets records monthly, perform reconciliations, and provide reporting of capital expenditure approved vs actual spending. Responsible for following, updating, and applying the Fixed Assets management SOP.
* Analyze fixed asset transactions in need of follow-up documentation.
* Perform Fixed Assets reconciliation for external entities.
* Responsible for training new employees and refresher training as need.
Tax and Compliance Filings
* Responsible for quarterly sales tax filings with the State of CA, property tax filings with San Diego County, Vista business license renewal, assist with preparation of FDA business applications, census reporting, preparation of various company insurance applications including but not limited to: Property & Liability, Fiduciary.
* Assist Sr Accounting Manager and VP of Finance on the annual financial review and R&D tax credit, and any CPA inquiries throughout the year.
* Responsible for answering accounting questions from internal/external inquiries by researching and interpreting the data. (Internal department needs, external inquiries could come from banks, government entities, CPA, or various tax consultants, insurance auditors)
* Assist with annual budget preparation as needed. Perform budget variance analysis as required.
* Maintain standard cost in Navision, perform cost roll for new part numbers. Assist Sr Accounting Manager in annual raw material updates, work centers labor and OH updates and mass cost roll.
* Responsible for handling of international letters of credit - communicating with international broker and the bank to have the letter of credit approved. Also, responsible for reviewing all financial documents required to be sent to the bank to execute.
* Recommend ways to reduce costs and enhance revenue.
Cross Trained Departmentally
* Trained to understand and perform A/P & A/R in posting invoices and incoming cash receipts as a backup, if needed. Trained on profit recovery of penalties and shortages and claims filing.
* Ensures confidentiality is always maintained when handling financial information in the department.
* Create Product Class and R&D dimensions in Navision for accurately capture sales and new product development project expenses.
* Special projects as assigned by VP of Finance & Sr Accounting Manager.
Process Improvement
* Adheres to and supports BioFilm's Corporate Policies and Procedures.
* Actively works to improve processes in the company and its relationship to the community.
* Demonstrate total commitment to outstanding customer service, following up on external and internal customers inquiries within 24 hrs.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
* MINIMUM OF ONE (1) YEAR OF EXPERIENCE IN THE FIELD OF ACCOUNTING.
* BACHELOR'S DEGREE IN BUSINESS ADMINISTRATION, CONCENTRATION ACCOUNTING OR FINANCE REQUIRED.
OTHER SKILLS AND ABILITIES:
OFFICE SKILLS
* PROFICIENT IN EXCEL, WORD, POWERPOINT, AND OUTLOOK.
* PROVEN ABILITY TO HANDLE MULTIPLE PROJECTS SIMULTANEOUSLY
* ABILITY TO READ AND ANALYZE FINANCIAL REPORTS
* ERP EXPERIENCE REQUIRED, NAVISION EXPERIENCE PREFERRED. ORACLE EXPERIENCE HIGHLY PREFERRED.
* OPERATE 10-KEY CALCULATOR, A PLUS.
Compensation details: 30-45 Hourly Wage
