Job Summary

The Scheduling Coordinator is a key strategic position focused on the planning and scheduling of work. They will be responsible for routing, creating, publishing and maintaining schedules for all Brand Standard’s Specialists in support of excellent customer service, financial efficiency and a colleague’s work life balance. This includes accurate reflection of current shift hours and rotation, planned off-assessment activities such as team meetings, training, holidays, vacations, system issues, unplanned absences, and more.

Principal Duties and Responsibilities

  • Daily routing and scheduling of work orders by matching client requirements with Specialist certifications to ensure proper assignment.

  • Organize Specialists’ schedules within specific guidelines taking available time and client parameters into account

  • Monitor and ensure assessments are scheduled, and completed within round dates and spread evenly throughout the established rounds, through assist trips as necessary

  • Provide updates to schedule changes and possible impact to scheduled commitments

  • Use Steritech's People First approach when assisting Specialists with schedule changes and client requests to minimize disruptions and prevent down time.

  • Work with District Managers and Specialists to learn variables for particular areas, specialists and clients that affect efficient scheduling; incorporate into advance scheduling and subsequent adjustments.

  • Interact with District Managers, Operations Managers, Specialists and Support Services to obtain information needed to facilitate work planning, scheduling prioritization, resolution of technical issues, incorporating changes and identification of other special requirements

  • Alter schedules as needed to accomplish changing goals and unexpected tasks.

  • Communicate effectively with Specialists, District Managers, Support Services, clients and various departments to facilitate completion of scheduled work orders.

  • Assist with scheduling and coordination of training assignments.

  • Utilize various systems to accomplish job duties. Implement and maintain scheduling software to ensure return on investment and maximize Specialists efficiency.

  • Provide status updates and other reporting as directed.

  • Planning, offering, and assigning overtime when needed to meet staffing requirements (Mandatory & Voluntary).

  • Provide District/Operations Managers with route and client certification recommendations to ensure Specialists are fully utilized and productive

  • Respond to internal communications and assistance for support, both phone messages and emails within 24 hours

  • Immediately communicate any concerns which may adversely impact Brand Standards Operations and/or clients

  • Produce and maintain Excel spreadsheets—both standard and ad hoc reporting as necessary to support operational activities

CANDIDATE SUMMARY

Required Experience

  • Two years of administrative experience.

  • Previous experience in routing, scheduling, logistics and/or dispatch operations

  • Advanced Excel skills

Formal Education, Qualifications or Training

  • Associates Degree in Business Administration or related field
