LifeSource is hiring a Facilities Coordinator to act as the primary point of contact for all facility-related issues and to be responsible for all building related services to ensure functionality, comfort, safety, and efficiency of the building and property. This newly created position will manage, coordinate, and or execute the facilities functions including HVAC, electrical, lighting, roofing, grounds, and security, ensuring effective vendor management working in conjunction with contractors and third parties, participates in understanding and adhering to OSHA and other regulations and standards. This position will also provide oversight to LifeSource fleet vehicles.
As a Facilities Coordinator, you'll advance our lifesaving mission by performing the following duties:
Ensure the day-to-day operations of the facility are conducted in a manner consistent with policies and procedures in alignment with our mission.
- Fully understand facility functions including HVAC, electrical, plumbing, building and furniture layout, security, maintenance, and grounds and is responsible for making minor repairs not requiring licensing.
- Manage the day-to-day relationship with property management company and other vendors as well as sources new vendors for maintenance services, cleaning supplies, and other facility needs.
- Ensures service agreements to maintain utilities, security systems, appliances, waste disposal, office equipment, and facility signage are being met.
- Perform a wide variety of general maintenance duties, troubleshooting, and requests, as appropriate.
- Coordinate major facility repairs with escalation given to Facilities & Maintenance Supervisor and then to Director – Tissue and Donor Services.
- Review and manage construction, repair work, projects, equipment, daily maintenance, and supplies to ensure that jobs are completed in a timely manner, efficiently and that the specifications for improvements are within local/state/federal regulations.
- Manage efficiency, safety and use expectations of garage parking, deliveries, and storage needs.
- Ensure that all site-specific documentation and reports, including environmental stewardship tracking and floor plan documentation per CMS requirements, are completed accurately and on time.
- Specialty Space Oversight and Management
- Coordinate and oversee annual environmental testing per regulatory requirements for on-site clinical area.
- Active engagement and backup oversight, as appropriate, for preventive maintenance and calibration of clinical equipment including refrigerators, temperature monitoring, sterilization unit, or hood vent. Includes any clinical equipment at other locations, as established for operational needs.
- Ensure thorough and timely communication with team members and respective service vendors, when facility-related activities may impact operations, both clinical and non-clinical.
- Develop long and short-range maintenance plans/programs for the purpose of ensuring that resources are effectively utilized.
- Mange office space allocation and employee moves within the office space in collaboration with the Facilities & Maintenance Supervisor.
- Oversee furniture and equipment inventory.
Oversee all LifeSource Fleet Vehicles setting expectations of use, effective and economical operations.
- Coordinate the maintenance of company vehicles, including routine vehicle inspections, oil changes, recommended maintenance, and car washes.
- Review all driver’s logs, inspection reports, and trip records to ensure accuracy and compliance with expectations.
QUALIFICATIONS
- Requires a combination of education and experience equivalent to 5 yrs facility maintenance, building management or emergency preparedness responsibilities.
- Prefer Certified Facility Maintenance Manager (CFM) designation or ability to obtain within 2 years of being in the position.
- Knowledge of or competency in plumbing, HVAC, electrical or mechanical systems, as well as accepted maintenance practices.
- Must maintain a valid driver license and have reliable personal automobile to be used with company reimbursement using IRS guidelines.
- Ability to read and interpret documents such as design drawings, blueprints, safety guidelines, operating and maintenance instructions and procedural manuals.
- Self-directed, motivated contributor with ability to function autonomously, manage multiple projects simultaneously, set priorities, execute timely follow through and meet deadlines.
- Effective communication and people skills, effective at establishing rapport and working relationships with leaders, peers, and vendors.
- Meticulous and highly organized with a desire to improve processes, take initiative and solve problems.
- Excellent critical thinking and analytical skills to confidently execute reasonable and sound decision making.
- Demonstrated ability to exhibit a high degree of quality, integrity, and honor confidentiality of appropriate information including, but not limited to, personal team member data, organizational operations or work processes, donor and donor family information, contributor details, any financial information and medical or protected health information (PHI) in accordance with HIPAA.
- Working knowledge of Microsoft Office applications.
- Proven skilled and competent in using technology-based tools such as personal computers and related software, mobile devices, and electronic medical record systems as appropriate for position.
WORKING CONDITIONS/SCHEDULE
- 1.0 FTE. On-site in Minneapolis.
- Monday- Friday, business hours. Able to work a minimum of 40 hours per week with a schedule adjusted to accommodate organizational needs.
- Respond quickly to emergency problems and participate in a 24-hour on-call schedule rotation.
- Affected team members in OSHA Exposure Category III never or rarely have exposure to bloodborne pathogens and do not handle materials that could spread infection (less than one opportunity per month). Additionally, they rarely interact with staff in patient or donor areas in a hospital or clinic setting while performing their assigned job duties.
- Frequently lift objects up to 50 pounds and carry them short distances.
Projected offer rate range: $30-37/hr, based on years of relevant experience and education.
