A Brief Overview
This role will maintain a portfolio of projects that meet the emerging needs of the Foundation program teams using the Foundation's project management system and related applications to manage their work. This individual will develop and maintain strategic working relationships with the Foundation program teams to develop and maintain project plans that align with the strategic goals of CHOP and the Foundation with a focus on work management, process improvement and change management. This individual will be responsible for the coordination, scheduling and workflow support of the Foundation program teams projects and will work cross-functionally to oversee their life cycle. He/she/They will help create work breakdown structures, manage project timelines and provide ongoing guidance to the Foundation program teams to ensure projects are delivered on time, and with the utmost productivity and efficiency meeting or exceeding client satisfaction.

What you will do

  • Project Identification Identify and organize projects by defining project scope, goals and deliverables
  • Perform needs analysis to ensure that institutional needs are met
  • Identify key stakeholders and appropriate project team members
  • Project Initiation and Planning
  • Secure project approval, determine resource availability, timeline and financial commitment, and manage project progress
  • Facilitate discussions to meet mutually agreed upon goals
  • Coordinate complex customer input, ideas and feedback
  • Complete detailed project plan documents, including project work breakdown structure, schedule, roles and responsibilities
  • Manage and communicate project objectives and goals to the project team. Present project plan documents to key stakeholders and audiences
  • Project Execution
  • Manage project execution from start to finish including tracking progress, identifying issues and mitigating risk
  • Establish rapport with collaborating departments and teams
  • Meet regularly with project sponsors including to communicate progress toward project milestones and project status, provide insights into project health, proactively escalate issues and provide recommendations for bringing projects back into alignment with expected outcomes when needed
  • Maintain accurate, up to the minute record of exact status of all active projects, leading regular meetings with the program leadership team(s) to review job status, next steps and critical deadline information
  • Escort projects through all stages of development from implementation through post live support. Notify project team members of deadlines and priorities. Secure all internal (Foundation) approvals.
  • Create a visual representation of established processes that is measurable and easy to navigate.
  • Project Closure
  • Complete postmortum evaluations to measure outcomes
  • Ensure project outcomes align with desired goals
  • Complete lessons learned and present outcomes and findings to key stakeholders and audiences
  • Assemble and archive project documents
  • Additional Responsibilities
  • If not a member of the Foundation Process and Project Optimization team, act as a liaison among the teams to ensure information sharing; determining opportunities to maximize resources; and ensuring the program teams project management practices align both with Foundation practices and with industry best practices
  • Educate Foundation team members on project management processes and procedures, the project management product value and user adoption, and trouble-shoot ongoing issues

Education Qualifications

  • Bachelor's Degree Required
  • Bachelor's Degree in English, journalism, communications or related field Preferred

Experience Qualifications

  • At least three (3) years of communications project management, quality or process improvement experience Required
  • At least seven (7) years of writing, editing or development communications experience Preferred
  • Previous fundraising, non-profit or development experience Preferred
  • Previous experience in a healthcare, research or academic related environment Preferred

Skills and Abilities

  • Six Sigma Black Belt (CSSBB) - American Society for Quality (ASQ) - - Preferred or
  • Six Sigma Green Belt (CSSGB) - American Society for Quality (ASQ) - - Preferred
