A Brief Overview
This position will support the Cardiac Procedural Teams. Assumes responsibility for managing effective business operations and functions within the department. Works collaboratively with all members of the interdisciplinary team of nursing, surgery and anesthesia to develop systems, processes and plans to improve service profitability and operational efficiency. Manages business operations in areas of responsibility and serves as a key member of the leadership team through the development of effective relationships with closely associated departments (finance, revenue cycle, information systems, biomedical engineering, facilities, security, environmental services and supply chain). Is a resource to the department and hospital leadership: analyzes and monitors the internal and external environment; investigates and clarifies new opportunities; and develops reports and tools with the data analyst that measure key indicators, providing the necessary information to guide operational, strategic and financial planning that result in clinical and economic growth, performance and service excellence.
What you will do
- Manages business operations in areas of responsibility. Helps define operational standards, organizes department-level activities to achieve optimum service delivery/systems/care/processes, setting high performance objectives for the department. Holds self and others accountable to meet stated objectives, outcomes, goals, timetables and commitments, adhering to standards even in the face of unforeseen circumstances.
- Identifies opportunities within the department and defines processes to enhance revenue through new volume, service line growth, cost containment (inventory and cost-per-case reduction), loss/waste containment, GPO/contractual agreement, enhanced resource utilization (labor, equipment, and materials) or improved policy.
- Leads product, instrument and equipment evaluation, promoting standardization of supplies and analyzing costs of new equipment or instrumentation systems.
- Manages supply inventory (including implant, consignment, loaner and biologics), providing guidance and methodologies for proper control, management, reduction of expired product and in conjunction with regulatory requirements.
- Analyze and identify opportunities for new business opportunities and expanding current product lines based on market conditions, community needs and financial return of investment.
- Leads weekly Supply Chain meetings which includes Inventory Control and Materials Distribution.
- Provides continued support to Finance and Operations Manager regarding the financial and statistical data review to support the department's directors, governance structure and all managers. Assist with providing and presenting all necessary management information to these groups, including routine and ad-hoc reports: financial (case cost, supply/inventory management, charge reconciliation); monthly dashboard (division, unit, surgeon); utilization (blocks, ORs); along with clinical and operational data (case start and duration accuracy, turnover, add-ons and cancellations, etc.). Will also review and approve requisitions, invoices and travel expenses.
- Provides analytic support for current and conceptual business programs, to include providing support in the development, implementation, analysis, decision-making and evaluation of the programs.
- Correlates and communicates the effectiveness of business impact on department's strategic planning initiatives, new programs and related technology acquisition, facility needs, contracts and consultative services.
- Provides facilitation and direction for new technology acquisition and planning, contract development and/or negotiation for provision of services related to clinical programs.
- Business Management
- Develops and/or participates in the implementation and execution of business plans or activities for the department. May assist in the development of business plans.
- Makes decisions guided by the business plan and resource availability that impacts service levels and the team's ability to meet objectives.
- Analyzes processes and procedures and makes recommendations and/or decisions on guidelines for daily processes/activities within department.
- Responsible for policy changes related to the EPIC OpTime Scheduling and Billing process. Implements new or revised policies, processes and procedures within that area of expertise.
- Develops and/or participates in the development of the annual department budget.
- Makes decisions that demonstrate sound stewardship of financial resources. Oversees the implementation of identified systems and processes in order to provide efficiency and reduce expenses without compromising quality of service/mission.
- Applies business and management expertise to identify problems/opportunities, determine solutions and measure results.
- Responsible for the management of the visitor/observer ship clearances within the OR.
- Provides an efficient, effective, and accurate billing process in accordance with hospital financial services policies and in compliance with payors.
- Facilitates with Revenue Cycle the process of setting prices and establishing the necessary CPT and EAP codes associated with current and new programs/supplies.
- Facilitates with Revenue Cycle the review of the charge masters in all units. Audits time, supply, equipment and service charges to assure that proper and complete information is obtained to maximize revenues.
- Provides oversight, training and direct supervision to the Billing Analysts.
- Conducts employee performance management duties including completion and delivery of performance evaluations, setting goals, dissemination of information, coaching, addressing performance issues/routine correction actions and recommending termination of employment.
- Responsible for the management of the scheduling processes, including the OR block schedule, block modification process and new procedure requests.
- Partner with key scheduling and operational leaders to identify areas of improvement or streamlining processes and make recommendations as appropriate.
- Leads Scheduling Optimization meeting.
- Provides oversight, training and direct supervision to Data Coordinators and OR Central Schedulers.
- Conducts employee performance management duties including completion and delivery of performance evaluations, setting goals, dissemination of information, coaching, addressing performance issues/routine correction actions and recommending termination of employment.
- Provides support to leadership and the finance department in gathering, organizing and interpreting information for the development of the operational and capital budget.
- Serves as a liaison and resource to other hospital departments/division for financial problem-solving activities of mutual concerns with area of responsibility; serves as a team leader on divisional or cross-functional projects.
Education Qualifications
- Bachelor's Degree Required
- Master's Degree Preferred
Experience Qualifications
- At least one (1) year working in cross-functional teams with no direct reporting relationships. These teams include internal employees as well as consultants, contractors, and vendors. Required
- Experience working in healthcare and/or business process reengineering Preferred
Skills and Abilities
- Knowledge of healthcare business processes, and/or knowledge in one or more departmental operation in a healthcare setting. Understands healthcare data, operations and reporting/analytical tools.
- Advanced proficiency with project management and communication tools (e.g., Visio, PowerPoint, Excel, Word)
- Demonstrates ability to prioritize work, strong organizational skills and initiative to improve processes.
- Change agent demeanor. Must be a flexible thinker, with an ability to quickly adapt to a changing environment.
- Understanding of current Project Management methodologies
- A working knowledge of a healthcare from acute, ambulatory, and industry perspectives.
