Job Summary

The Office of the Registrar (RO) is looking for a new associate registrar who will serve as a key player in the development, implementation and assessment of student services, and create systems that can help offices improve effectiveness to best support UM's diverse student population. The incumbent will provide day-to-day leadership and managerial support for assigned areas including transcripts, certifications and diploma; records and enrollment, and residency.

Reporting to the Senior Associate Registrar, the associate registrar serves as a member of the unit leadership team, plans and directs policies and procedures, and guides special projects. Serves as liaison for Honors Convocation activities between the RO, schools and Colleges and the Provost Office; partners with ITS to resolve student information system issues. 

This position is responsible for the oversight of staff in these assigned areas including hiring, training, evaluation, and professional development.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment Management (OEM) manages U-M's enrollment function to efficiently optimize students' experiences throughout their engagement, from prospect to alumni. The division collaborates with campus partners, faculty, and staff, in support of the university's mission and commitment to academic quality, accessibility, diversity, equity, and inclusion.

OEM comprises a dedicated team of more than 200 full-time staff members, and up to 400 additional student and temporary staff and is structured in five operational units - the Office of Undergraduate Admissions, the Office of Financial Aid, the Office of New Student Programs, the Office of the Registrar, and OEM Administration. OEM strives to provide excellence in access and support to diverse and inspiring learners who will challenge the present and enrich the future.

Responsibilities*

Provides daily oversight of assigned unit operations. Direct four assistant registrars and their team members; prioritize staff workload as competing tasks, projects, and processes arise. Provides development opportunities and assures exemplary customer service across all areas.

Serves as member of the Associate Vice Provost and University Registrar's leadership team. Advises the Office of the Registrar on best practices in policy, procedure and administrative computing use while maintaining and improving University functions.

Coordinates processes related to the creation, maintenance and archiving of student academic records. Assures that timely procedures related to the functions and activities performed are maintained in all assigned areas. Coordinates practices required to maintain the security of academic record information. 

Identifies and communicates relevant and important information, issues, clarifications, updates and changes within and external to the Office of the Registrar as appropriate. Assists in the interpretation of academic regulations and ensures that proper University academic record policies and procedures are understood and followed by all constituents. 

Serves as an academic records resource and responds to inquiries and concerns from staff, faculty, students, alumni, parents and others related to: enrollment, residency, academic record keeping, grade processing, transcripts, enrollment and degree certification, diploma management, degree conferral, Veterans? administration benefits and other assigned areas. 

Leads and participates in a multitude of short-term and long-term projects intended to enhance and improve processes used throughout the Office of the Registrar, the larger OEM organization and the University to serve our students, faculty, staff, alumni, government agencies.

Plans and directs training programs for personnel in the Office of the Registrar and throughout the University community regarding FERPA and state law related to the release of information contained within the students academic records.

Ensures effective and efficient use of information systems.  Maintains knowledge of current and new emerging technologies. Makes recommendations on how best to utilize information systems to support student-services operations. Fosters continuous process improvement through operational efficiency and customer-focused operations.

Partners with Information and Technology Services (ITS) to resolve Student Information System issues related to help desk incidents, systems upgrades, enhancements and troubleshooting. Assists ITS with defining requirements, testing, communication plans and training for major and minor system implementations. 

Liaison for commencement exceptions and retroactive withdrawals between the Office of the Registrar and Schools/Colleges. Serves as liaison for Honors Convocation activities between the Office of the Registrar, Schools/Colleges, University and Development Events Office, and the Office of the Provost ? including identification of recipients, notification to students, quality assurance and reporting.

Oversees the testing and submission of various data and reporting requirements, including but not limited to necessary updates for AMCAS and LSAC, interaction with Big Ten colleagues on CourseShare and other conference initiatives, and data submission requirements for the State of Michigan Center for Educational Performance and Information.

Represents OEM and campus-wide initiatives. Participates on behalf of the University in professional groups and conferences such as AACRAO, MACRAO, EDUCAUSE, HEUG and Big Ten Academic Alliance.

Required Qualifications*

  • Bachelor's degree in a related field.
  • Five years of progressively responsible experience in higher education, preferably in a registrar's office within a post-secondary, accredited institution.
  • Considerable knowledge and understanding of best practices with academic records management and understanding of applicable policies and regulations.
  • Successful supervisory experience is required.
  • Exceptional communication and active listening skills, including the ability to convey complex information to a variety of constituencies.
  • Strong technical aptitude and computer software (MS Office) skills, as well as experience with student information systems such as Oracle.
  • Ability to utilize information and data to inform strategic decision making.
  • Project management experience. Ability to track multiple projects, set priorities and meet deadlines with frequently changing priorities.
  • Demonstrated commitment to diversity, equity and inclusion.

Desired Qualifications*

  • Experience with Oracle Campus Solutions
  • Experience with university policies and practices around registration, grading, and other enrollment-related processes
  • Experience with SAP Business Objects
  • Experience working with transcript and diploma vendors such as Parchment

Modes of Work

The Office of Enrollment Management requires a hybrid work arrangement of minimally three days on-site and two remote days. Thursdays are required as an on-site work day for all, and this leadership role may require work onsite everyday. Learn more about the work modes.
