The Sales Administrative Assistant primary role is to perform general office duties to support Sales, Revenue, Marketing, and the General Manager where needed. The Sales Administrative Assistant will assist Managers with administrative duties including, but not limited to, processing leads, customer interactions via phone, email, and in-person, supporting site visits, contract and proposal preparation, processing reports, and supporting the sale process. Furthermore, they will communicate to other departments as directed by Managers and assist with any other administrative tasks in order to successfully execute the task/contract from beginning to end. The ideal candidate will demonstrate strong customer service skills, initiative, time management, and ability to meet deadlines. This position reports to the Director of Sales & Marketing and Associate Director of Sales, is full-time and on-site at the Hyatt Regency Jacksonville.
Responsibilities include but are not limited to:
- Learn and manage digital sales systems (e.g. Envision, Opera) and understand the hotel's sales strategies (e.g. rates, fees, budgeted goals, etc.). Implement these tools and resources in order to accomplish individual and team goals and efficiently complete job duties
- Support sales team in regard to entering leads and updated database information to best communicate correct and complete information to property teams
- Ensure all information (copy of the signed contract, addendums, pertinent emails, etc.) is in Envision
- Supporting the sales team administratively through client communication (phone, email, database) and workflow projects
- Answers phones; qualifies incoming inquiry calls and ensures all inquiries are dealt with accurately timely and in a professional manner
- Assist in the sales process as directed by the Sales Managers.
- Provide high-level administrative support by conducting research, preparing statistical reports, and collecting and processing sensitive data
- Generating reports, preparing proposals and contracts, collecting details and coordinating with clients & suppliers as directed
- Manage & maintain sales executives and managers schedules, appointments and travel arrangements including expense reporting
- Demonstrates awareness of established goals for each property and the role played in the Sales process to achieve and/or exceed these goals.
- Maintains correspondence including prospecting efforts, and thank you letters for groups
- Serve as a professional liaison between all departments of the Hotel
- Complete or assist with various aspects of pre-event, main event, and post-event details as assigned by Sales Managers
- Maintain confidentiality of proprietary information pertaining to guests and coworkers
- Acts as a Hyatt Regency Brand Ambassador in all connections and communication
- Any other tasks as assigned by Director of Sales and Marketing, Associate Director of Sales, Sales Managers
